With our commitment to client service, we have worked closely with our clients to resolve various issues that fall outside the realms of Debt Recovery, by utilising our Receivables Management Unit, which includes Credit and Ledger Management services.

Credit Management

Incasso can provide a complete Credit Management service, which includes a complete review of your current credit control function.  We have managed portfolios from various sectors and in doing so, handled relationship and customer retention sensitively and effectively, whilst accelerating to bad debt management when required.

Our service to manage your full or partial credit control facility includes:

  • Dedicated team members.
  • Computer hardware deemed necessary.
  • Dedicated telephone and email facilities.
  • Option of pre-legal collections, trace and legal proceedings.
  • Service level agreement detailing timescales, volumes, costs and performance indicators.

 

We offer a complete business diagnosis in order to ascertain the underlying issues that could be having an impact on cash flow, taking into account the following questions:

  • Are you happy with your current procedures - factoring/invoice discounting?
  • Have you looked at alternative options? If so, what are your preferences?
  • Who sets the payment terms in your current procedures?
  • Are your customers predominately Companies or Private?
  • What % of the invoice is funded?
  • What do your lenders charge for their service?
  • Do you have Bad Debt insurance and are you fully aware of the terms and conditions?
  • Do you have to check with your current lender before making a sale or are you responsible for managing your own cash flow?
  • What personal guarantees have you had to make?
  • What is your turnover and bad debt?
  • Do you have Credit Protection Service?
  • What are your concerns for setting up your own credit control?
  • Do you have the capacity within your current staffing levels to put together your own credit control or would you have to recruit?
  • Do your customers have set payment dates within each calendar month?

 

Using the answers to the above questions and the business diagnostics, we would put together a comprehensive report detailing our findings and offering solutions to the issues found.  This report will provide various options and would be provided to the company Directors.

Ledger Management

The Incasso Ledger Management service can be utilised either in conjunction with our Credit Management service or as a stand alone identity.  With time of the essence, Incasso can manage this critical process from the outset, either at your own office or from the Incasso Head Office in Leeds to achieve speedy collection of any outstanding invoices and overdue debt.

Key activities include:

  • Management and action of customer queries up to and including Letter Before Action.
  • Proactive outbound telephone calls to verify customer debts and obtain payment or proposal.
  • Authorised external field agents to conduct site visits and pre-sue/asset reports.
  • Regular weekly/monthly Management Information updates, including cash collected and current case status.

 

Strict and efficient procedures have been implemented to ensure a smooth hand-over of data and documentation required to assist in the recovery process. These include:

  • First contact information bank - once initial contact is received by Incasso, we will capture details such as Administrators contact details, date of appointment and guarantees in place.
  • Inventory - this document records what data and documentation the Administrators and the Bank believe is available to collect or in their possession.
  • Checklist - items to commence work such as copy invoices, statements and proof of delivery.
  • Assessment - data provided will be assessed in order to determine any difficulty/complexity involved in recovering the debt, expected levels of disputes and accuracy of data.
  • Date of appointment - the chances of smooth and successful recovery will be greatly increased if attendance by Incasso is arranged to correspond with the Administrators attendance, or as soon as possible following the Administrators appointment.
  • Your exposure level - our main objective is to eradicate your exposure and continue to collect debts beyond this level for the benefit of all parties concerned. Our fee structure is formulated to ensure we do this in the most effective manner for you.

 

A complete review of the current debt ledger can be undertaken and a detailed report will be provided profiling the ledger and reviewed with you to determine necessary action. This will include the following:

  • Queries and disputes currently pending.
  • Payment methods by customers.
  • Bad debts.
  • Customer maintenance.
